People365+ Terms of Service

Agreement

These Terms of Service ("Terms") apply to People365+, a cloud human capital management (HCM) workspace operated for registered organizations.

By creating a company account, accepting an invite, or signing in, you agree to these Terms on behalf of your organization. If you do not agree, do not use the service.

Individual users act under authority granted by their organization administrator. Employees should follow internal workplace policies in addition to these Terms.

The service

People365+ provides role-based HR operations through licensed modules: Directory, Leave, Timesheet, Payroll, Expense, and Performance. Your organization sees only the modules enabled on its license key and turned on in Settings → Modules.

The product also includes organization settings (departments, locations, shifts, work week), home attendance clock in/out, optional two-factor authentication (TOTP), customizable home dashboards, branding controls, per-module email templates, and optional AI writing assist when your administrator configures a provider API key.

Features may change as the product evolves. We do not guarantee that every screen shown in marketing or pricing pages is enabled for your license.

Registration and accounts

A company owner or authorized administrator registers an organization, may enter a license key, and invites members. Each user signs in with a work email and password.

You are responsible for accurate organization profile information, member access, and activity under accounts tied to your company.

Administrators may enforce two-factor authentication for the organization. Users must keep credentials and authenticator devices secure.

Licenses, plans, and billing

Access is controlled by organization license keys. Plans (such as Starter, Pro, and Enterprise) define employee seat limits and which modules are included, as described on the pricing page and in your order or license metadata.

Billing is based on active employees for the license term unless otherwise stated in your commercial agreement. Published prices exclude applicable taxes such as GST unless your invoice states otherwise.

If a license expires, is invalid, or exceeds seat limits, we may restrict module access until the license is renewed or upgraded. Module upgrades are applied to the license key without requiring a new company registration.

Acceptable use

You may use People365+ only for lawful workforce and HR administration within your organization.

You must not misuse the service, attempt unauthorized access, interfere with other tenants, upload malicious content, or use the product in violation of employment, payroll, or privacy laws applicable to you.

Your organization is responsible for the accuracy of employment, payroll, leave, expense, and performance data entered into the system.

Organization data

Your organization retains ownership of data it submits, including employee profiles, attendance records, leave balances, payroll inputs, expense claims, and performance records.

Administrators with appropriate permissions may export organization data using product features such as GDPR export in Settings where available.

Data processing for privacy purposes is described in our Privacy Policy.

Security and support access

We use technical and organizational measures appropriate for a business HR platform, including authenticated sessions, optional TOTP two-factor authentication, and security audit logs for organization administrators.

If your organization enables support access, vendor support staff may access your tenant only according to the approval workflow configured in Settings.

You must promptly notify us at support@people365.com if you suspect unauthorized access to your account or organization.

Optional AI features

When enabled by an administrator, AI writing assist sends selected text to a third-party AI provider using credentials your organization supplies. We do not provide AI models directly.

Your organization is responsible for provider terms, data handling, and deciding where AI features may be used inside HR workflows.

Availability and changes

We aim to keep People365+ available on a commercially reasonable basis. Maintenance, updates, network issues, or factors outside our control may cause interruptions.

We may update the service, these Terms, or pricing with reasonable notice where practicable. Continued use after updated Terms are posted constitutes acceptance of the revised Terms.

Suspension and termination

We may suspend or terminate access for material breach of these Terms, non-payment, expired licenses, or security risk.

Your organization may stop using the service at any time. Export data before closure where export tools are available.
